The phone rings at breakfast. Someone picks up.

For guesthouses where the owners do everything themselves. When you can’t pick up, an AI answers, says she is an AI and writes the request down for you. You call back when you have time.

Buongiorno, avete una doppia dal 12 al 15 giugno?

Buongiorno, sono l’assistente AI del garni. Prendo volentieri la richiesta: per quante persone?

Fewer staff means fewer hours at the front desk, not fewer calls.

In a guesthouse the owner couple does almost everything themselves. When nobody is at the front desk, the hotel phone rings on a mobile: during breakfast service, at the shops, in the evening at the kitchen table. Every call is an interruption, and if you can’t answer while serving, you sometimes miss exactly the request that would have booked.

A scenario

A morning in a guesthouse with twelve rooms.

Scenario · Example

Live

Guesthouse, 12 rooms, Merano.

March to November, front desk 8–11 am and 4–7 pm, otherwise the phone goes to a mobile. A made-up hotel, a real problem. The story only uses what voisas can do today.

  1. The owner is serving breakfast. The phone rings through to the AI, as set in the phone system. She answers and says she is an AI.

  2. A request for June, two people, three nights, taken in Italian, with a call-back number.

  3. A guest asks if there is parking. The AI answers from the info the guesthouse has added.

  4. Breakfast is over. The owner reads all the requests in one go and calls back the right people.

A made-up guesthouse, our assumptions. Put in your own numbers: two weeks of call lists are enough.

What changes for your guesthouse.

The mobile stays in your pocket while you serve. The calls are not lost, they wait for you in writing.

How it gets set up in your guesthouse.

  1. Step 1

    We come to you

A visit to your hotel. You tell us what guests ask on the phone.

  2. Step 2

    Add your hotel info

Parking, dogs, check-in, breakfast, season. The AI answers from this.

  3. Step 3

    Set up call forwarding

In your phone system or with your provider: when the AI picks up.

  4. Step 4

    Test it yourself

You call before a guest does. Only then do we switch it on.

What guesthouse owners ask.

You decide. In your phone system or with your provider you set when the AI picks up, for example after a few rings or outside front desk hours. If a guest really wants to speak to you, she can put them through, depending on your system.

One visit to your guesthouse. Together we write down what the AI should know about your guesthouse, and we show you where forwarding is set. Then you call yourself and hear how she answers.

Yes. She says so in the first sentence of the call.

No. She takes the request, you confirm. Whether she can book straight into your booking software depends on the software. We check it with you before we promise anything.
