AI on the hotel phone: what it can do today, what it can’t, and what you should ask.
For hosts in South Tyrol who are wondering whether an AI should answer the phone. No jargon, with sources, and with eight questions you can put to any provider, including us.
What is an AI phone assistant for hotels?
Software that takes calls, talks to the guest and writes down what they need. It listens, answers with a voice and then sends you a summary. It is not an answering machine: the guest does not leave a message, they get answers and are asked for whatever is missing.
For a hotel, this usually means you forward calls to this line when nobody at the desk can pick up. In the evening, at weekends, during breakfast, when the front desk is busy with check-in.
When is it worth it?
When the phone rings and nobody is free. In South Tyrol that happens more often than it used to: guests book at shorter notice, and staff are scarce.
„dass Gäste mittlerweile sehr kurzfristig buchen“
Many calls are simple: parking, arrival, dogs, half board, whether a room is still free. Hardly anyone hires a night porter for five to ten calls a night.
„wer kann sich noch mal Mitarbeiter, der nur nachts da ist, leisten“
And even when someone does pick up, things often get lost. In a study with test calls to upscale hotels in Austria, the caller’s phone number was noted in only 9% of calls (Telemark Hotel Studie 2017, leadersnet.at). An AI that always asks for a name and call-back number closes exactly that gap.
What it does well, and where to be careful
Does well today
- Answering, at any hour
At night too, at weekends and on public holidays.
- Answering questions about the hotel
From the information you give it. Not from the internet.
- Taking down a complete request
Dates, guests, room, name, call-back number.
- Speaking the guest’s language
Ask which languages have really been tested.
Be careful here
- Rates from memory
Without a link to your software, it does not know your current rates. Better: it quotes none.
- Booking directly
Only works if your hotel software has an interface. In South Tyrol ASA is widespread, with over 3,000 businesses by its own account (asahotel.com). Ask specifically about your software.
- Personal advice
The tip for a hike, the feel for a regular guest: that stays with you.
„Gli albergatori vogliono capire dove l'AI può essere realmente utile e mantenere il controllo.“
The law in plain words
- The guest must know they are talking to an AI
- Article 50 of the EU AI Act requires this, applicable from 2 August 2026 (text of Article 50). The simplest way: the AI says so in its first sentence.
- You remain responsible for your guests’ data
- The provider processes it on your behalf. That needs a data processing agreement under Article 28 GDPR (GDPR on EUR-Lex). Ask to see which service providers are involved and where the data is stored.
- Recordings only with notice
- Anyone who stores calls as audio must inform the guest and have a legal basis. Ask whether calls are recorded at all and how long anything is kept.
- No card details over the phone
- Taking credit card numbers verbally falls under the card industry’s strict rules (PCI DSS). A payment link is the usual and safer way.
The Austrian Economic Chamber (WKO) gives hotels the same advice in its AI guide: announce the AI at the start, build the answers from real guest questions, and the hotel stays responsible for the data (WKO, KI-Prompting-Guide Hotellerie, July 2026). This is a pointer, not legal advice.

Common questions
Many would, yes. That is why the AI belongs where nobody else picks up: at night, at weekends, when the front desk is full. And anyone who wants a person should be able to be put through.
Yes. Since 2 August 2026, Article 50 of the AI Act requires that people are told when they are talking to an AI, unless it is obvious. On the phone, it is not.
Yes, if it is allowed to guess. Ask every provider where the answers come from and what happens when the AI does not know something. The good answer: it says so openly and takes the question down for you.
With us, always you. The AI takes the request, you confirm or call back.
